CRM for landscaping and lawn care

The whole season, one route sheet at a time.

Rootwork is the CRM for landscaping companies: recurring service plans that put themselves on the calendar, a route sheet for every crew every morning, weather holds you rebook with one drag, and monthly billing that runs while you're on the mower.

What it does

Built for a business that runs on repeat

Most of a landscaper's revenue is the same properties on the same day every week. Rootwork treats that as the centre of the product, not an afterthought bolted onto a sales pipeline.

Service plans that schedule themselves

Set a property to weekly on Tuesdays with Crew C and every visit for the season is on the calendar. Past visits close themselves; today's is live; next week's is ready.

A route sheet for every crew

Each morning, each crew sees its stops in order with time on site, gate codes and dog warnings. A capacity bar shows the day against eight hours before you overload anyone.

Weather holds

Rain out a job and it goes on hold with the reason. It stays on the attention list until you drag it to a dry day — nothing gets lost in a text thread.

Chemical application records

Product, EPA number, rate, wind, temperature and re-entry interval, captured on the phone by the licensed applicator and filed with the visit. The paperwork inspectors ask for, already done.

Seasonal agreements signed on site

Cadence, season, price per visit and included extras, signed on the glass at the kitchen table. Assessment and irrigation checklists come with it.

Billing that keeps pace

Monthly recurring revenue at a glance, invoices with aging, and a six-month view of booked work so you see the spring rush and the autumn drop before they arrive.

How it works

Load the book once. Then run the mornings.

Load your book of business

Customers and properties, with lot size, gate codes, irrigation zones and crew notes. Import from a spreadsheet or add them as you go.

Set the routes

Give each property a crew, a weekday and a cadence. Rootwork generates the visits and shows each crew's load for the week so you can balance it.

Run the mornings

Crews open their route sheet, work the stops, log a visit report or a chemical record, and the office sees it as it happens.

Route sheet

Every crew's day, balanced before it starts.

Pick a day and see each crew's stops in order, with the minutes on site and the drive between them added up against an eight-hour day. Drag a stop from one crew to another when someone calls in sick. Print the sheets for the trucks.

  • Capacity bar per crew: green, amber, red
  • Gate codes, dogs and crew notes on every stop
  • Unassigned stops wait in a tray until they're placed
Chemical records

The application log, done where the application happens.

Licensed applicators are required to record what went down, at what rate, in what conditions. Rootwork's form captures all of it on the phone in the driveway — product and EPA registration, rate, area, wind and temperature, target pest and re-entry interval — and files it against the visit with the applicator's signature.

  • Fields match what state inspectors ask to see
  • Irrigation start-up and blow-out checklists too
  • Drafts save; signed records lock

I used to build Monday's routes on Sunday night with a highlighter. Now the crews have their sheets before I've had coffee, and when it rains I drag the day to Thursday and the customers get a text.

Questions

Things landscapers ask first

What happens to a recurring visit when it rains?

Put it on weather hold with a note. It leaves the route, appears on the attention list, and the next visit in the plan is unaffected. Drag the held visit onto a dry day and it's back on a route.

Can a property be on two crews, or change crews mid-season?

Yes. Each visit knows its crew, so you can move one visit or reassign the plan from that point forward. The route sheet updates immediately.

Do the chemical records satisfy the state?

The form captures the fields most state pesticide bureaus require of commercial applicators — product and registration number, rate, area, conditions, target and re-entry interval — with the applicator's signature and licence number. Check your state's specific list; the fields are editable.

What's in the demo?

A fictional company, Cedar & Stone Landscapes, with three mowing crews, an install crew, 82 service plans across 84 properties, and a month of one-off work. Today's routes are already built. Drag stops between crews, put a job on hold, sign a form — it's saved in your browser and resets in one click.

Does it do snow?

The Fleet plan switches the same properties onto a snow contract with per-event or seasonal billing. The demo shows the growing season.
